Privacy Policy.
MailDignity checks outbound emails for pushy, presumptuous or noisy lines. This policy explains what data we handle when you use the website, the API and the MailDignity browser extension.
The short version.
- We never store the text of the emails you check.
- We never sell your data or use it for advertising.
- We never use your emails to train AI models.
What we collect.
- Account data: your email address and display name, from email sign-up or Google / Apple sign-in.
- Plan and usage: your plan, monthly quota and how many checks you used.
- API keys: stored only as a one-way SHA-256 hash, plus a short prefix and name so you can recognise them. We cannot read your full key.
- Check records: for each check, the date, verdict, a one-line summary, the rule types flagged, the word count and whether it came from the API or the extension. Not the email itself.
How email text is processed.
When you run a check, the email text is sent over HTTPS to our servers and to our AI processing provider to produce the verdict. It is processed in memory and discarded once the response is returned. It is not written to our database or logs. Playground history lives only in your browser tab and disappears when you close it.
The browser extension.
The extension reads a Gmail draft only when you click its "Check" button. It does not read your inbox, other emails or browsing history. Your connection key is kept inside the extension's background worker and is never exposed to the Gmail page. The extension requests only storage permission and access to Gmail and maildignity.com.
Service providers.
We rely on a cloud hosting and database provider, an AI processing provider and, for paid plans, a payment processor. They handle data only to provide their service to us.
Retention and your rights.
Account and usage records are kept while your account is active. You can revoke API keys at any time from the dashboard. To access, export or delete your account and data, write to us and we will act within 30 days. If you are in the EU/EEA or UK you also have rights under the GDPR, including to complain to your supervisory authority.
Cookies.
We use only what is needed to keep you signed in. No advertising or cross-site tracking cookies.
